A CRM built around how your business actually works

A fixed-price Airtable CRM for managing leads, customers, follow-ups, tasks and sales stages, built around your day-to-day workflow, not a template you have to bend your business into.

Instead of scattered spreadsheets, an inbox used as a to-do list, or an enterprise CRM that costs more than it saves.

A good fit if your customer process still lives in spreadsheets and inboxes

This service is built for one situation. If a few of these sound familiar, it will pay for itself quickly.

Leads and enquiries come in by phone, web form, email and referral, with no single place they all land
Quotes and follow-ups get missed because nobody owns the next step
Your team tracks customers across a mix of spreadsheets, sticky notes and inboxes
You want a record of every customer and job without digging through email threads
You've looked at enterprise CRMs and they cost more, and do more, than you need
You want to see what's happening across the pipeline without asking around
Your process changes often enough that a rigid CRM template keeps getting in the way
You're comfortable with a browser-based tool, you don't need desktop software
It may not be the right fit if…
We’d rather say so on the first call than sell you the wrong system.
You need deep accounting or stock control built into the same tool
You already have a CRM that works and just needs a few tweaks
You need a customer-facing portal with logins, that's a Business Systems project
Your sales process runs into thousands of active records at a time
You want something fully hands-off with no involvement in how it's set up

From scattered admin to one clear customer workflow

The value isn’t Airtable. It’s what happens to the enquiry after it arrives.

BEFORE
Enquiry arrives by phone or web form
Written on a sticky note or forwarded to an inbox
Quote sent by email
No record of what was quoted or when
Follow-up depends on memory
Easy to lose track of who's waiting on what
Job won
Details re-typed into a separate invoicing tool
No shared view
Only one person really knows what's outstanding
AFTER: ONE TRACKED WORKFLOW
01
Enquiry logged automatically
Captured from your web form, phone log or inbox the moment it arrives.
02
Assigned a stage
New, contacted, quoted, won or lost, whatever stages match how you actually sell.
03
Quote tracked against the record
Value, date and status all sit against the customer, not in a separate email.
04
Follow-up reminders set automatically
Nothing waits on someone remembering to chase it.
05
Job won, invoice stage triggered
Ready to hand off to invoicing or your accounting software.
06
Whole team sees the same pipeline
One shared view instead of five different memories.

The building blocks of your CRM

We assemble the CRM from these parts, sized to your workflow.

Lead & pipeline tracking
Every enquiry logged with its stage, value and next action, from first contact to won or lost.
Customer records
One record per customer, with contact details, history and notes in a single place.
Follow-up scheduling
Reminders set automatically so a quote never goes quiet without someone chasing it.
Quotes & notes log
Track what was quoted, when, and what was agreed on the call.
Automatic reminders
Email or in-app alerts when a follow-up, task or deadline is due.
Basic integrations
Connect to email, calendars or a form on your website, where it's within scope.
Simple reporting
See open value, enquiry count and stage totals without exporting anything.
Workflow automation
Automate the repetitive steps, like moving a record to the next stage or notifying a teammate.

Built around your workflow, not a generic CRM template

Every build starts with how your business handles customers today, the stages you actually use, the information you actually record, the moments follow-ups actually happen.

The CRM structure should reflect the business process, not force the business into someone else’s process.
WHAT WE MAP BEFORE WE BUILD
01
How do enquiries actually reach you today?
02
What stages does a customer move through, in your words?
03
What information do you need on hand for every customer?
04
Where do follow-ups get missed right now?
05
Who on your team needs to see what?
06
What should happen automatically once a job is won?

How the project works

Five defined steps, a fixed end point, and a working CRM at the end of it.

1
Discovery
A short call to map your current process, the stages, fields and follow-ups you actually use.
2
Design
We design the base structure (tables, fields, views and stages) around that process before building anything.
3
Build
We build the CRM in Airtable, and set up views, automations and templates.
4
Import & test
Your existing customer data is imported and the base is tested against real scenarios.
5
Handover
A walkthrough call, a short written guide, and your team is ready to use it.

One fixed price. Clear scope. No open-ended build.

You know what you’re buying before the project starts.

Why use Airtable instead of a traditional CRM?

Both are valid. It depends on the size and shape of your sales operation.

Airtable CRMWHAT WE BUILD
Built around your exact process, not a generic template
You own the base outright, no vendor lock-in
Pay Airtable's own subscription directly, no markup
Fast to build, and just as fast to change later
Familiar spreadsheet-like feel, short learning curve
Fixed price for the build, scoped and agreed upfront
Typical off-the-shelf CRM
Built around the vendor's process, you adapt to it
Monthly per-user pricing that grows with your team
Features you don't need, and gaps in the ones you do
Migrating away later can mean rebuilding from scratch
Often needs training just to use the basics
If another CRM is genuinely a better fit, we’ll say so.

Connect the CRM to the way your business already works

Where it’s within scope, the CRM can sit in the middle of your existing tools rather than beside them.

What this could look like in a real business

Illustrative example. Not a published client project.
THE PROBLEM
A small electrical contractor had enquiries arriving by phone, web form and referral. Quotes lived in a spreadsheet only one person updated, with no reliable way to see which jobs were still waiting on a decision.
WE BUILT
An Airtable CRM with a customer pipeline, follow-up reminders and a simple reporting view, imported from their existing spreadsheet in a single afternoon.
WHAT CHANGED
Every enquiry tracked from first contact to invoice
Follow-ups no longer depend on memory
The whole team sees the same pipeline

Who this works well for

Different industries, same problem: customers tracked in too many places.

Trades and contractors (electricians, plumbers, builders)
Salons and personal care businesses
Cafes and hospitality with regular bookings
Small agencies and consultancies
Local service businesses managing repeat customers
Property and letting management
Anyone replacing a spreadsheet CRM
Teams of 1 to 5 people

Common questions about an Airtable CRM

Why Airtable instead of a proper CRM system?
Airtable gives you a flexible, spreadsheet-like database that's fast to build, easy to change, and priced per seat rather than bundled into an expensive platform. For most small teams it does everything a traditional CRM does, without the cost or complexity.
Do I need to pay for Airtable separately?
Yes. The fixed price covers the build. Your Airtable subscription is paid directly to Airtable, so you're never locked into paying us for hosting or access.
Can you import our existing spreadsheet or CRM data?
Yes, one data import is included in the fixed price. Larger or messier datasets may need extra cleanup, which we'll flag and price before starting.
What if we outgrow Airtable later?
Airtable scales further than most people expect. If you do outgrow it, the workflow and data structure we build now still map cleanly onto a custom Business Systems project.
How long does the build take?
Typical delivery is 1-2 weeks once we've mapped your process on the workflow call.
Can our whole team use it?
Yes, the fixed price includes seats for your core team. Additional team members can be added as an add-on.
What happens after handover?
You own the base outright. Ongoing changes, support or further automation are available separately, there's no obligation to continue with us.
Is this different from a Custom Business Systems project?
Yes. This is a fixed-scope build inside Airtable. A Business Systems project is bespoke software built from scratch, usually for more complex or customer-facing needs. We'll always tell you which one actually fits.
